Internal Knowledge Base Q&A Bot Development (RAG)

A RAG knowledge base bot is an internal assistant that searches your own documents, such as policies, SOPs, contracts and wikis, and answers staff questions with the source passage quoted alongside. RAG stands for retrieval-augmented generation: the model is not trained on your files, it retrieves the relevant passages at question time and answers only from those. That is what keeps answers current and lets anyone verify a claim in one click.

Ingestion and indexing of your first source is usually running within the first week, and the rest of the time goes into permissions, retrieval tuning and testing against the questions your team actually asks. The bot connects to Google Drive, SharePoint, OneDrive, Notion and Confluence, plus plain PDF or Word folders and your intranet. It re-indexes automatically when a document changes, so an updated leave policy is reflected in answers without anyone rebuilding anything. Single sign-on with Google or Microsoft controls who is allowed to ask.

The bot respects your existing document permissions per user, so someone in sales asking about a confidential contract gets nothing back rather than a summary they should not see. Permissions are read from Drive or SharePoint at query time rather than copied, which means an access change takes effect immediately. Every answer shows the document and page it came from.

Your documents are stored, indexed and searched entirely inside your own AWS or Azure account. Only the short passages needed to answer a specific question are sent to the model, and we can route those through Azure OpenAI or AWS Bedrock with zero-retention terms if your compliance policy requires it. The source code and the vector database are yours.

Microsoft 365 Copilot or ChatGPT Enterprise are the sensible choice if your content already sits in one Microsoft or Google estate and generic answers are good enough. A custom RAG bot is worth it when you need citations you can audit, sources those tools do not index, permission logic they cannot express, or you object to per-seat pricing across hundreds of staff. It costs $1,000 to $2,200 once instead of a licence per person every month.

A knowledge base bot works best for organisations of roughly 20 to 500 staff with a real body of written documentation. If your policies live mostly in people's heads or across a dozen pages, write them down first, because the bot cannot answer from documents that do not exist. It is also the wrong tool where a legally exact answer is required; treat it as a fast way to find the clause, not a substitute for reading it.
